Responsibilities of the Accounts Division

  1. Processing payments.

  2. Preparing bank reconciliations.

  3. Supervising inventory-related duties (monthly).

  4. Preparing financial summaries.

  5. Compiling performance reports.

  6. Requesting, disbursing, and replenishing session advances and expenditures.

  7. Maintaining the Provincial Council advance ledger.

  8. Overseeing general administrative functions of the division.

  9. Managing general correspondence within the Accounts Division.

  10. Maintaining inventory records and relevant documentation

  11. Managing security deposits for minors and facilitating their release.

  12. Providing financial information to external entities, including:

    IV.Provincial Accounts Committee
    V.Commission to Investigate Allegations of Bribery or Corruption
    VI.Line Ministry Secretary of Education

    XII. Assistant Auditor General /Auditor General regarding audit queries and observations within stipulated timeframes..

  14. Managing checkbooks and related financial transactions.

  15. Allocating and requesting provincial council funds.

  16. Allocating and requesting line ministry funds.

  17. Preparing bank settlements.

  18. Preparing supplementary estimates.

  19. Compiling progress reports.

  20. Preparing Form A estimates for the Provincial Council.

  21. Managing the Provincial Council’s General Deposit Account.

  22. Managing the Central Government’s General Deposit Account.

  23. Handling matters related to stamp duty.

  24. Maintaining control records relevant to the Partial Development Plan.

  25. Overseeing official bank accounts of the provincial and zonal offices.

  26. Managing reimbursements from line ministries and provincial revenue.

  27. Granting approvals under Financial Regulation 115.

  28. Preparing employee statistics reports for line ministries.

  29. Preparing statistical reports for the Provincial Council.

  30. Preparing the discharge account.

  31. Preparing expenditure reports under the Partial Development Plan.

  32. Compiling expenditure reports for the "Nearest School is the Best School" initiative.

  33. Conducting asset verification activities.

  34. Maintaining records of losses and damages.

  35. Preparing supporting documents for the year-end line ministry advance account.

  36. Managing cash and check receipts.

  37. Handling petty cash advances and disbursements.

  38. Overseeing procurement activities within the office.

  39. Managing purchasing transactions.

  40. Handling procurement for construction projects.

  41. Maintaining the CC 10 ledger.

  42. Fulfilling duties related to the TSEP program.

  43. Processing pension gratuities.

  44. Preparing the monthly report on Provincial Council Widows’ and Orphans’ Pensions.

  45. Managing assets effectively.

  46. Overseeing storage and inventory functions.
